Configuring Report Permissions

Database Reports

Database report access is managed using two permission levels:

  • Run Database Reports: Granted by the menu right View > Report 
  • Edit Database Reports: Granted by the base right Create, edit, and delete database reports.

Local Reports

For local reports, permissions are set as follows:

  • Create, edit and delete database records : Granted by the Base rights in the Administrator rights of Scout

    • You will have to access the Report Generator to run that single report. But they will also have the right to run any other available reports.

Workaround for Restricting Report Access

To limit an administrator’s ability to interact with certain reports, apply the following steps:

  1. Assign Permissions:

    • Edit base rights for the affected administrator.
    • Deny both Create, edit, and delete database reports and Allow local reports base rights.
  2. Organize Reports:

    • Move any reports that the affected administrator should not access to Local Reports. With this setup, the affected administrator can only run database reports without the ability to view or edit specific local reports

This configuration helps to limit the administrator’s interaction to a specific set of database reports, while preventing unintended access to other reports.

Issue/Introduction

This article explains how to configure a user group in Scout to restrict access to a specific report. Currently, Scout does not allow direct access restrictions on individual database reports, but a workaround can be applied to manage report permissions.

There are to types of report that needs to be recognized: 

  • LocalThe report will be saved to the local user directory of the logged-on user (<User>\Documents\Unicon\Scout\Report).
  • Database: The report will be saved in the Scout database and can then be viewed, used and edited by other authorized Scout administrators. See also Sharing reports.
