Description

  • The users enabled to transact are Partners currently enabled to transact in SAMRI/DOTI and Distributors in EMEA and APAC.
  • For North America and Canada, End-users have the option to generate or have the partner generate a quote.
  • For all other regions, contact your Distributor for renewal processing.

Instructions

Note: For perpetual licenses, the Manage Customer Entitlements Tool enables you to:

  • Create and manage quotes for your customers​
  • Generate summary reports of your customer’s maintenance programs
  • Process renewals for your customers
  • View upcoming renewal opportunities

Customer Success Services

  1. Sign in to Partner Central.
  2. ​Hover over Licensing, Renewals, and Extensions at top of page and make your selection under Manage Customer Entitlements.

  1. Select Maintenance Renewals hyperlink.
  2. Scroll to bottom of page and select Manage My Customer’s Maintenance Programs hyperlink.

  1. On the Manage your customers’ entitlements page, click Digital Online Transaction Interface tab. The tool opens on the Dashboard page.
  2. Use the menu located in the upper left side of the screen to quickly access a list of your assigned customers, quotes, and transactions.
    • Customers – allows partner to search for customers alphabetically by name or by account id.
    • Quotes – allows partner to see all customers that have been quoted in the past 120 days.
    • Transactions – allows partner to view all customers quoted and the status of quote.

Overview of DOTI's user Interface

Dashboard

The Dashboard view allows partners to effectively manage their pipeline, showing:

  1. The top 5 customers with a near maintenance renewal date
    1. Click on “View all customers” to see all your assigned customers
  2. Recent transactions (quotes created by partner and transacted by customer or distributor)
  3. Expiring quotes
    1. Use the filters to track quotes expiring within the next 0-30 days, 31-60 days, or 1-90 days.
    2. Click on “View all quotes” to access a complete list of current active quotes you have created or quotes for which you have been granted visibility.

Customers

The Customers page allows you to have a holistic view of all your assigned customers. Efficient search, sorting and filter
features will help you quickly locate any customer.
  1. Use the “Search” feature to quickly locate a customer.
  2. Use the “Sort by” feature to reorder the customers list.
  3. Use the filters button to see all customers, those with an expiration date within the next 90 days, or customers with expired maintenance.

Quotes

The Quotes page allows you to view all quotes created by you for your assigned customers, and quotes for which
you have been granted visibility. Efficient search and filter features will help you quickly locate any quote.
Note: If the quote visibility is removed, the quote will appear in the list with status “withdrawn” and you will not
be able to view the quote details.
  1. Use the “Search” feature to quickly locate a customer.
  2. Use the filters button to see all quotes created within the last 0 to 30 days, 31 to 60 days or 61 to 90 days.

Transactions

The Transactions page allows you to view all quotes that have been transacted by you, your customer or
an assigned distributor. Efficient search and filter features will help you locate any quote in no time.
  1. Use the “Search” feature to quickly locate a quote or a customer.
  2. Click on “Downloads” to view and/or print the Renewal Certificates.

Creating a quote

  1. Click the “Create quote” button

  1. First, you will be asked to confirm Software products.

Use the filters and select products

  1. Simple step-by-step quoting flow
  2. Use filters to include or exclude products:
a. Filter by Status and/or Product
b. Search by Serial #
c. Filter by Date Range
  1. Click on User-added image “Select” or “Deselect” all visible items.
  2. The quantity in your shopping cart includes both Software and Hardware products.

Renewal Certificates and Missing Licenses

  1. Click on "Renewal certificates" to access the lost of renewal certificates for that customer.
  • The Renewal certificate page will open a new browser window.
  1. It is recommended that you click “Missing Licenses” to verify if the customer has any missing licenses.
  2. If the customer has missing licenses that you wish to quote, you can resolve by contacting your Citrix Renewal Sales Representative.

Upgrade SA to Select

When upgrading to Select, in order to ensure compliance quoting, all items required to maintain compliance will
be indicated as “Required” on their line item. The “Service level” column will indicate the level of service required to maintain compliance.

Assets in reinstatement

When creating a renewal or upgrade quote, by default, all assets active and/or expired less than 6 months will be pre-selected.
Assets in reinstatement will be indicated as “Expired” on their line item.
Note: Assets in reinstatement will be charged a reinstatement fee and late fee, based on the maintenance program type and GEO rules.

Product details

Click on the product name for more information regarding contract level and product details. Note: The correct contract for renewal
pricing and customer discounting is automatically selected. You may select the “New Service end date” here or on the “Create a quote” page.

Select products and populate Service end dates

1. Populate the new expiration date for each asset or use the “Date sync date” field to populate expiration date for all assets.
Note: The default New service end date will be one year from the latest asset current end date.
Or
2. Populate a new expiration date for all line items with “Sync Service end dates”.
3. Click “Next” to continue to Hardware.
Note: You cannot create a quote for an asset with a renewal term past the End of Renewal date or greater than 5 years
from the quote date, whichever occurs first.

Quoting hardware only?

If you are quoting only Hardware Maintenance, click “Skip software”. All software products will
automatically be excluded from the quote.

Confirm hardware

  1. Repeat the following steps for hardware:
a) Select products
b) Pick New Service End date
  1. Click “Go To Pricing”.

Quoting software only?

If you are quoting only Select (Software Maintenance), click “Skip hardware”. All hardware products will automatically
be excluded from the quote.

Pricing calculation by line item

The “Review Pricing” step displays the list of assets and the pricing for each is calculated on different line items.
The “Type” column will indicate either of the following types:
  • Upgrade: remaining current Select term.
  • Renewal: 1 year from today’s date.
  • Reinstatement: time lapsed + 1 year from today’s date.
  • Late fee: fee based on the percentage of the reinstatement period.

Review pricing and finalize quote

  1. Select the “Currency”.
  2. Check the box to agree to the Terms and Conditions.
  3. Click “Finalize”.
    • Note: Applicable taxes are calculated and added to the total at the time the quote is transacted.

Once your quote is created, you will be able to:

  1. Download* the Partner quote (Quote) and/or Customer quote (Customer quote).
  2. Add notes to the quote (not visible to customer). See 2nd screenshot
  3. Duplicate and edit the quote.
  4. Mark this quote as “Favorite” (button will turn green when selected).
  5. Make the quote visible to the customer (button will turn blue when selected).
*Tip: When downloading a quote, make sure pop-up is not blocked in your browser.

Notes to the quote

When adding notes to the quote as indicated on the previous page, they will appear under the “Notes” column on your Quotes list.
The quote notes are not displayed on the quote.

Duplicating an existing quote
  1. From the Quotes list or Customer page (not shown here), locate the quote you wish to duplicate.
    • Tip* - Use the “Search” feature or filters to quickly find a specific quote.
  2. Open the quote by clicking on the quote number.

Transacting a Maintenance Program Renewal/Upgrade quote

  1. From the Quotes list or Customer page (not shown here), locate the quote you wish to transact.
Tip*: Use the “Search” feature or filters to quickly find a specific quote.
  1. Open the quote by clicking on the quote number.

1. On the quote page, click on “Transact quote".

Confirm/update contact, payment, taxes information

  1. Confirm/select billing contact.
  2. Confirm/select Renewal contact.
  3. Confirm/assign a Partner.
  4. Update payment information with credit card information or PO number.
  5. Update VAT information (if applicable).

Place order

  1. Check the box to confirm your acknowledgment of Citrix Membership Agreement.
  2. Click “Place Order”.

Transaction confirmation

Once you finalized the order, you will get a confirmation message. You can track the status of the order on
the Quote or Transaction view.
Quote statuses in DOTI:
  • Approval required
  • Pending Transaction
  • Pending Approval
  • Approved
  • Withdrawn
  • Transacted
  • Expired

Note: As a DOTI user, you will not be able to transact a quote in “Pending approval” status but you will be able to view
quote details, including the non-compliance reason(s). If you have any questions, please contact your Citrix Renewal Sales Representative.
